This Privacy Policy explains how Clear Pool Command handles information when you use the Service. Your business and customer records remain yours. We store and process them to provide the features you use, and we do not sell them or use them for targeted advertising.
1. Information We Handle
We handle three kinds of information:
- Account information you give us: your name, email, phone, business details and sign-in credentials (passwords are stored only as a secure hash).
- Business records you choose to keep in the Service: customers, properties, equipment, service visits, photos, quotes, invoices and finances. We keep these records for you. We do not gather them for our own purposes.
- Limited technical records needed to run and protect the Service: the device and browser used to sign in, crash reports when an error happens, access logs for your customer portal, and IP addresses used to prevent abuse. We do not run general tracking of the pages you visit or the features you use.
Payment card details are handled by Stripe. We do not store full card numbers.
2. How We Use Information
We use information to provide and support the Service, process payments, send account and service messages, prevent fraud or abuse, and meet legal obligations. We do not use your business records to train AI models without your consent.
AI features. When you use an AI feature, the related information is sent to an AI provider to produce the result. Some features remove personal details first. Others need the related records to work, for example the Daily Briefing, the in-app Guide and receipt or document scanning. AI features are optional to use.
Phone app permissions. The app asks for camera access (barcode scanning and photos), location (weather, mileage, time clock, route ordering and Tap to Pay) and notifications. Each permission is used only when you use that feature and can be turned off in your phone's settings.
3. Data Storage and Security
Data is stored with encryption in transit and at rest. Sensitive fields such as banking details receive additional encryption. Access controls keep each business limited to its own data. We follow industry practices, but no system is completely secure.
5. Customer Data
You keep full ownership of the customer records you enter. We process them only on your behalf to provide the Service. Your business controls those records and is responsible for having a lawful basis to keep them. If one of your customers asks about their data, we will direct the request to your business.
6. Data Retention
Your data is kept for as long as your account exists, including after a free trial ends or access is paused for billing. Data is never deleted automatically after a set time. Account data is deleted only when the account owner asks in writing at info@clearpoolcommand.com. Some financial records may be kept longer when the law requires it. Backup copies expire on their normal cycle.
7. Your Rights
Depending on where you live, you may have the right to access, correct, export or delete your personal data. You can export your customer data from Settings > System at any time. To delete an account or make any other request, email info@clearpoolcommand.com.
9. Changes to Privacy Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notice. The "Last updated" date above reflects the most recent revision.
10. Text Messaging (SMS) Privacy
Pool service businesses using Clear Pool Command (each a "Business") may send recurring operational text messages to customers who expressly agree to receive them. The Business is the sender and Clear Pool Command is its messaging software provider. Mobile phone numbers and consent records are collected only to deliver service and account messages such as appointment and arrival notices, service reports, quotes, invoices, payment receipts, account notices, and replies to customer questions.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding the aggregators and providers of the text message services that deliver the messages.
Customers opt in by selecting an optional, unchecked Business Messaging choice in their secure customer portal. No permission request is sent by text. Consent is optional and is not a condition of purchase or service. You can opt out at any time by replying STOP, or get help by replying HELP or contacting the Business. Message frequency varies. Message and data rates may apply. See the Text Messaging section of our Terms of Service.
11. Tap to Pay Privacy
When a Business uses Tap to Pay in the Clear Pool Command phone app, Apple (on iPhone) or Google (on Android) processes device identifiers and, on iPhone, the Apple Account of the person accepting payments, to set up the phone as a card reader and to prevent fraud. This is governed by Apple's and Google's own privacy policies.
Card details are read by the phone and sent securely to Stripe. Clear Pool Command never receives or stores full card numbers. We store the payment result (amount, date, status) and, when the customer agrees to save the card, only the card brand, last 4 digits and expiry date.
